Control Accounts (Sales and Purchases Ledger Control Accounts)
This module introduces students to Control Accounts as an essential internal control mechanism in double-entry bookkeeping. Learners discover how Control Accounts act as summary accounts representing the total balances of entire subsidiary ledgers. Students construct the Sales Ledger Control Account (Total Debtors Account) and the Purchases Ledger Control Account (Total Creditors Account) using information extracted from books of original entry. Learners apply control accounts to verify arithmetical accuracy, detect fraud and ledger errors, and deduce missing credit sales or credit purchases figures.

#### 1. Concept and Purpose of Control Accounts
- **Definition**: A Control Account is a summary account kept in the General Ledger that checks and replicates the collective total of balances in a subsidiary ledger (Sales Ledger or Purchases Ledger).
- **Core Functions**:
1. *Checks Arithmetical Accuracy*: Proves the mathematical agreement of individual debtor/creditor ledger accounts.
2. *Fraud Prevention & Error Localization*: Separates clerical duties; if a trial balance fails to agree, control accounts instantly reveal which ledger contains the error.
3. *Speed in Financial Reporting*: Provides the total trade receivables and total trade payables figures immediately without waiting to total hundreds of individual personal accounts.
4. *Deducing Missing Figures*: Vital in single entry / incomplete records to determine credit sales or credit purchases.
#### 2. Sources of Information for Control Accounts
Entries in Control Accounts are posted from the **Totals of Books of Prime Entry**, NEVER from individual customer accounts:

- Instead of exchanging full cash, their mutual debts are offset against each other to the extent of the smaller balance.
- **Accounting Entry**:
* **Debit**: Purchases Ledger Control Account (reduces what we owe them).
* **Credit**: Sales Ledger Control Account (reduces what they owe us).
